Why is it so difficult to simplify communication?

You probably prefer a shorter version of the newsletters, emails, or handbooks you receive.

 

So why do we often give people the version that's 50% longer than it needs to be?





Simplifying requires us to unlearn lifelong habits, and unlearning is difficult. 

It requires us to consider what our audience doesn't need or want. 

It's more work for me to edit an email before I hit "send", but it's better for my audience if I edit the email first.

 

Simplifying can be overwhelming. There are lots of factors to consider. I recently listed around 80 guidelines I use to simplify and shorten text. 


Artificial Intelligence (AI) programs like ChatGPT can help, but some of my tips are different from what AI often suggests.

I'll share more soon about my new AI project! 


Many organizations do not pursue training because it's more work for them. It's easier to continue writing and communicating the same way they always have. 

 

Your organization needs to decide - do you want to continue communicating the same way you always have? Or are you ready to reflect, model humility, and put in time and energy to give your audiences what they prefer?


If you aren't sure about the simplicity of your written communication, read it out loud. That's often a good indication. Or email me a sample and I'll give you an honest assessment. I've worked with hundreds of organizations, and I've seen it all.
